Payroll Contacts: Monthly Mailing Contains New Report, Suspense Code
If you are a primary payroll contact, look for the Retirement Plan Summary Report in the mailing you receive from VRS each month. This report will become part of the mailing you receive from VRS each month. It provides general VRS Plan 1 and VRS Plan 2 information for your employees. You will receive two reports initially, one for July and one for August, which will list all of your employees. Future Retirement Plan Summary Reports will reflect only new members or employee plan changes.
Please look for the following information in each report, paying close attention to newly hired employees in the July, August and September reports:
- If you find a discrepancy in an employee’s name (spelling or name change) submit the Request for Member Information Change (VRS-48)
29kb to VRS with the correct information. - If an employee is listed under the wrong plan, write the employee’s hire date on the report and then sign, date and e-mail it to VRS or fax a corrected copy to VRS at (804) 692-0989.
Do not include sensitive information, such as Social Security numbers, in e-mails to VRS. - Disregard any employees who are no longer employed with your agency but are listed on the report.
If you hired an employee before July 1, 2010 but his or her probationary period did not end until after July 1, 2010, that employee will be in Plan 1 only if you have made contributions to his or her member contribution account during the probationary period. An Error Adjustment Report (VRS-1501)
56kb can be submitted to adjust the member’s record if necessary. If no contributions were made during the employee’s probationary period, he or she will be in VRS Plan 2.
New Code for Suspense Report
A new code, 2675, has been added to the Employer Payroll Suspended 1500 Detail report included in your monthly mailing. New employees will be included in your Suspense Report under code 2675 until their Plan 1 or Plan 2 designation is made. A list of commonly used suspense codes is available in the Employer Manual
